Start here

  1. Hit Duplicate at the top right. That drops your own copy into your Notion.
  2. Open Wedding Tasks and fix the Owner column. Everything is split Me / Partner / Both as a starting guess, not a rule.
  3. Add your real due dates. The When column already phases everything from a year out to after the wedding, so work top down.
  4. Hit Share and invite your partner. Now you both work the same board.

Fill it in automatically with Claude

If you have your wedding files sitting in a folder, you don't have to type any of this in. Connect Notion to Claude, point it at the folder, and give it the prompt below. It reads your files and fills the boards in for you.

This works with the Notion connector in Claude, and with Claude Cowork if you have it. The prompt tells Claude to fill in this template rather than build a new one from scratch, which is the whole trick.

I've duplicated a Notion page called "Wedding Command Center". It has two
databases inside it: "Wedding Tasks" and "Guest List".

Read every file in this folder: our guest list, our budget, the venue and
vendor contracts, and our notes. Pull out every task, deadline, dollar
amount, name, and decision in them.

Then update the Notion page. Don't rebuild it, fill it in:

1. In Wedding Tasks, set a real Due date on every task you can date from our
   files or from our wedding date. Fill Projected cost and Actual spent from
   the contracts and quotes. Mark anything we've already handled as Done.
2. Add the tasks that are specific to us and missing: our venue's rules, our
   ceremony traditions, travel if people are flying in. Delete the ones that
   don't apply to us.
3. Fix the Owner column so it matches who is actually doing what in our notes.
4. In Guest List, add every guest with their side, party, email, address, and
   RSVP status. Tick the Plus one box where our notes say they get one.

Ask me before you guess on anything unclear, and tell me what you couldn't
find in the files.

<aside> ๐ŸŽฏ Steer it after it runs. If a deadline looks wrong, tell it the right one. If it invented a task you don't need, delete it. Five minutes of back and forth and the board knows everything your files know.
